These Terms and Conditions govern your access to and use of InfoPilot.ai. By registering, accessing, or using our services, you agree to abide by these Terms. If you do not agree to these Terms, you must refrain from using our platform.

We may update these Terms from time to time, and any significant changes will be communicated via email or platform notifications. Your continued use of InfoPilot.ai after updates constitutes acceptance of the revised Terms.

2. Definitions

For the purpose of these Terms, the following definitions apply:

  • User – Any individual or legal entity that registers an account on InfoPilot.ai.
  • Subscription – A paid plan that grants access to premium features based on the selected tier.

  • Automatic Synchronization Mode with InfoPilot.ai’s OpenAI API.
  • Automatic Synchronization Mode – The default mode in which InfoPilot.ai uses its integrated OpenAI API to generate chatbot responses, consuming
  • AI Credits.Manual Synchronization Mode – A mode in which users provide their own OpenAI API key, thereby bypassing the consumption of
  • AI Credits from InfoPilot.ai.
  • Messages – The total number of interactions exchanged within the platform, limited based on the user’s subscription plan.
  • Agents/Operators – Authorized users registered under an account who handle customer interactions via InfoPilot.ai.
  • Billing Cycle – The period for which subscription payments are charged (monthly or annually).
  • Service Availability – The uptime and reliability commitment of InfoPilot.ai’s services.

3. Account Registration and Access

3.1 Account Creation

To access InfoPilot.ai, users must register by providing a valid email address and accepting these Terms and Conditions. The account must be used only for legitimate business or personal activities, in compliance with applicable laws.

3.2 Account Types

InfoPilot.ai offers the following account options:

  • Free Account – Allows users to test the platform with limited functionalities.
  • Paid Subscription Accounts – Provides full access to features based on the selected plan.
3.3 User Responsibilities
  • Users are responsible for keeping their login credentials secure.
  • Account sharing is strictly prohibited.
  • InfoPilot.ai is not liable for unauthorized access due to weak passwords or negligence.
  • Users must provide accurate and up-to-date account information.
  • Violation of these responsibilities may result in suspension or termination of the account.

4. Subscription Plans and Billing

4.1 Structure of Subscription Plans

InfoPilot.ai subscriptions are structured based on the following parameters:

  • Number of registered agents/operators available under the user’s account.
  • Total number of messages that can be exchanged per billing cycle.

4.2 Payment Terms
  • Subscription fees are charged automatically based on the billing cycle selected by the user (monthly or annually).
  • Payments are processed via Stripe or other authorized payment gateways.
  • The user is responsible for maintaining a valid payment method on file.
  • Failure to process a payment may result in temporary suspension until the outstanding balance is settled.
4.3 Automatic Renewal and Cancellation
  • Subscriptions renew automatically at the end of each billing cycle unless canceled by the user.
  • Users can cancel their subscription anytime from their dashboard.
  • After cancellation, users retain access to premium features until the current billing period ends.
4.4 Price Changes
  • InfoPilot.ai reserves the right to modify subscription fees with prior notice.
  • Price adjustments will take effect at the start of the next billing cycle.

5. AI Credits and Synchronization Modes

5.1 Synchronization Modes

Users can choose between two modes to power their chatbot interactions:

  1. Automatic Synchronization Mode
    1. Uses InfoPilot.ai’s built-in OpenAI API.
    2. AI Credits are consumed for each chatbot response.
    3. The number of messages available under the user’s subscription does not affect AI Credit consumption.
  2. Manual Synchronization Mode
    1. Users provide their own OpenAI API key.
    2. No AI Credits are consumed from InfoPilot.ai.
    3. This mode allows full control over AI usage costs.

Users can switch between modes at any time from their account settings.

5.2 Purchasing AI Credits
  • AI Credits are only required when using Automatic Synchronization Mode.
  • AI Credits can be purchased separately from subscription plans.
  • Purchased credits do not expire as long as the user account remains active.
5.3 AI Credit Usage and Refund Policy
  • AI Credits are non-refundable (see Dispute and Refund Policy).
  • If a user switches to Manual Synchronization Mode, previously purchased credits remain stored but are not used.

6. Modification and Cancellation of Subscriptions

6.1 Subscription Upgrades and Downgrades
  • Users can upgrade or downgrade their subscription plan at any time.
  • Upgrades take immediate effect, with a pro-rated charge for the new plan.
  • Downgrades take effect at the end of the current billing cycle.
6.2 Cancellation Policy
  • Users may cancel their subscription at any time from their account settings.
  • Once canceled, the user retains access to premium features until the current billing period ends.
  • No refunds are provided for unused time in an active billing period.
6.3 Suspension and Reactivation
  • If a subscription payment fails, InfoPilot.ai may temporarily suspend the account until the payment is settled.
  • Users can reactivate their subscription within 30 days of suspension without losing data.
  • After 30 days, account data may be deleted permanently at the company’s discretion.

7. SaaS License Grant and Service Availability

7.1 License Grant

InfoPilot.ai grants users a limited, non-exclusive, non-transferable license to access and use the platform strictly for business or professional purposes.

Users do not own the software but are granted the right to use it under these Terms.

7.2 Usage Restrictions

Users may not:

  • Resell, sublicense, or redistribute InfoPilot.ai services.
  • Attempt to reverse-engineer or modify the platform’s code.
  • Use the platform to distribute spam, malware, or engage in illegal activities.

Violations may result in immediate suspension or termination of the account.

7.3 Service Availability and Uptime
  • InfoPilot.ai aims for 99.9% uptime, but occasional maintenance may be required.
  • Downtime due to scheduled maintenance will be communicated in advance.
  • InfoPilot.ai is not liable for disruptions caused by third-party providers, such as OpenAI or Stripe.

8. Refund and Dispute Policy

InfoPilot.ai does not offer refunds for subscriptions or AI Credits, except in specific cases outlined in the Dispute and Refund Policy.

Users experiencing billing issues should contact support before initiating a dispute with their payment provider.

9. Usage Restrictions and Fair Use Policy

9.1 Acceptable Use of InfoPilot.ai

Users must use InfoPilot.ai only for lawful and ethical business purposes. The following activities are strictly prohibited:

  • Using InfoPilot.ai to send spam, unsolicited marketing messages, or mass messaging campaigns.
  • Engaging in fraudulent, misleading, or illegal activities using the platform.
  • Using chatbots to impersonate another business, entity, or person without authorization.
  • Attempting to bypass or manipulate usage limits, billing structures, or security features.
  • Using the service for phishing, scams, or collecting sensitive personal data without user consent.
9.2 Fair Use Policy

To ensure platform stability, InfoPilot.ai applies fair usage limits to prevent excessive or abusive use that could degrade service for other users.

  • Excessive usage of AI processing, API calls, or message handling may result in temporary rate-limiting or additional charges based on the selected plan.
  • InfoPilot.ai reserves the right to monitor and review usage patterns to detect violations of this policy.
  • If a user is found abusing the platform, InfoPilot.ai may suspend or terminate their account without prior notice.

10. Data Protection and Privacy

InfoPilot.ai processes and stores data in accordance with the UK GDPR and Data Protection Act 2018.

11. Intellectual Property

11.1 Ownership of InfoPilot.ai

All intellectual property rights, trademarks, software code, and proprietary technologies within InfoPilot.ai belong to Reload People Ltd.
Users are granted a non-exclusive, non-transferable, limited license to access and use the platform under these Terms.

11.2 Restrictions on Use

Users may not:

  • Modify, distribute, sublicense, or resell any part of InfoPilot.ai.
  • Reverse-engineer, decompile, or attempt to extract source code from the platform.
  • Use InfoPilot.ai’s brand, trademarks, or copyrighted materials without prior written consent.
11.3 User-Generated Content

If users upload, submit, or input any content (such as chatbot responses, scripts, or branding elements), they retain ownership of their content but grant InfoPilot.ai a license to use, store, and process it solely for the purpose of providing the service.

12. Limitation of Liability

12.1 General Liability Disclaimer

InfoPilot.ai is provided on an “as is” and “as available” basis.

  • Reload People Ltd makes no warranties that the service will be uninterrupted, error-free, or meet all user requirements.
  • Users acknowledge that InfoPilot.ai relies on third-party services, such as OpenAI and Stripe, which may impact service availability.
12.2 Limitation of Financial Liability

To the maximum extent permitted by law, Reload People Ltd shall not be liable for:

  • Any loss of profits, business opportunities, or data resulting from the use or inability to use InfoPilot.ai.
  • Any indirect, incidental, or consequential damages arising from service interruptions, security breaches, or platform limitations.
12.3 Maximum Liability

If InfoPilot.ai is found liable for any damages under applicable law, its maximum liability shall be limited to the amount paid by the user in the last three (3) months preceding the claim.

13. Termination of Service

13.1 Termination by User
  • Users may terminate their subscription at any time via their account settings.
  • After termination, users retain access to their subscription benefits until the current billing cycle ends.
  • Upon expiration, access to premium features will be revoked, and stored data may be permanently deleted within a reasonable timeframe.
13.2 Termination by InfoPilot.ai

InfoPilot.ai reserves the right to suspend or terminate user accounts without prior notice in cases of:

  • Violation of these Terms and Conditions.
  • Fraudulent activity, abuse, or illegal use of the platform.
  • Failure to comply with billing obligations.
  • Actions that may harm the integrity, security, or reputation of InfoPilot.ai.

If termination is due to a policy violation, no refunds will be issued for unused services.

14. Amendments to Terms and Conditions

  • InfoPilot.ai may modify these Terms and Conditions at any time to reflect updates in laws, business practices, or service improvements.
  • Users will be notified at least 15 days in advance of significant changes via email or platform notification.
